Procedure Statement

The University of Toledo Medical Center (UTMC) Volunteer Services office recruits, approves and places individuals as volunteers in support of our mission to improve the human condition by providing patient-centered, university-quality care. Prior to beginning service as a volunteer all applicants must be cleared and approved following the current procedure implemented by the Volunteer Services office.

Applicants

Any individual 18 years of age or older may apply to be a volunteer at the University of Toledo Medical Center. Volunteers must be fully approved by Volunteer Services before they can be placed as a volunteer. Applicants the ages of 14 – 17 must first find and be sponsored by a department prior to submitting their application to Volunteer Services. The sponsoring department must then register their program with Risk Management for review and approval, following the Minors on Campus Policy 3364-10-17, through the registration portal. After the proposal is vetted and approved by Risk Management, Volunteer Services will take steps to clear the minor before they can volunteer.

Please note that volunteers working with research are not cleared through the Volunteer Services office, and must instead follow the procedure regarding Volunteers in Academic Research, Scholarship and University Activities that can be found on this page.

Application Process:

Contact Volunteer Services for the most current information and to apply.

  1. Interested candidates are required to complete an application with Volunteer Services.
  2. The application process includes but is not limited to the following: background check, medical screening (NOT to be scheduled until Volunteer Services tells you to), onboarding information and review, and additional training as determined by Volunteer Services. Please be aware that specific instruction on steps you need to take will be provided directly from our office after we review your application details to ensure you are in fact eligible for consideration as a potential volunteer.
  3. Minors who are first sponsored by a department, with final approval from Risk Management, will also need to submit to Volunteer Services two letters of recommendation via direct email from a faculty or staff member from the high school they attend.
  4. When a candidate is approved to volunteer, Volunteer Services will assess current needs and compare them to the volunteer’s interests, capabilities, and schedule availability. If a volunteer is not cleared, or if a volunteer is not being placed due to capacity concerns or restrictions, they will be advised of this by Volunteer Services and will not be placed.
  5. Upon placement in a role, the volunteer will be connected to the assigned department. The department director or supervisors will provide scheduling information, orientation, department specific training, and continuing education.

Expectations of Volunteers

  • Volunteers are required to volunteer a minimum of 3 hours a week for a period of at least 3 months (or a semester), unless otherwise approved by Volunteer Services.
  • Placed volunteers are expected to follow the rules and guidelines established for all students, faculty, and staff at UTMC, the Health Science Campus and the main University of Toledo campus.
  • Volunteers are required to wear a UTMC photo identification badge and follow the UTMC hospital dress code policy 3364-25-06.
  • Volunteers must keep their file current and up to date, including but not limited to completing annual HIPAA training and medical screening requirements.
  • Volunteers must report hours to Volunteer Services.
  • Active volunteers agree to notify Volunteer Services when they stop volunteering.
  • Volunteers who fail to comply with standards of behavior, Volunteer Services, hospital or university policies and procedures, and any other circumstances that would make continued service as a volunteer contrary to the best interests of our patients, hospital, or university will be released from service as a volunteer.
